SharePoint

The SharePoint connector reads policies, standards and designs from SharePoint or OneDrive. See Connectors for the general workflow.

SharePoint is a document source. A run records formally defined guidance in the Reference Library and terms in the Glossary. It doesn’t create architecture objects. It goes with either estate source, repositories or cloud accounts.

Under Access, choose one of two modes.

ModeReadsNeeds
Sign in with MicrosoftA whole folder or library, including every sub-folder.A Microsoft account that can already open the folder.
Public file linksThe files you list, one link each. Each file shared as Anyone with the link.

Where sign-in isn’t set up on your deployment, the dialog says so and offers public file links only.

ArchNGN reads as the account you sign in with, so it sees only what that account can already open in a browser. Your organisation issues no new credential, and nothing needs to be shared publicly. This suits a consultant reading a client’s documentation with the guest account they already use.

  1. Choose Sign in with Microsoft: read a whole folder or library.
  2. Enter the Folder or Library address, for example https://contoso.sharepoint.com/sites/Architecture/Shared Documents/Designs, or a folder sharing link.
  3. Leave Directory (Tenant) ID blank. ArchNGN finds it from the address.
  4. Click Create and Sign in with Microsoft, and sign in in the window that opens.

ArchNGN checks that the account can open the folder before it saves the sign-in. The grant stays with the connector and is removed when the connector is deleted.

If the grant stops working (the password was reset, consent was withdrawn, guest access ended), the next run fails before reading anything and says why, and the connector shows Sign-in needed. Open it and sign in again. Only the person who signed in can point the connector at a different folder without signing in again.

  1. In SharePoint or OneDrive, select the file and click Share.
  2. Set the audience to Anyone with the link, and keep it as Can view.
  3. Click Copy link, and paste it into File Links. Add one link per line.

If your organisation has turned off Anyone links, a SharePoint administrator must allow them, or use sign-in instead.

  • File links only. For a folder, use sign-in.
  • Links that need a sign-in aren’t supported in this mode.
  • Each link, and any redirect, must reach a public host. It is checked before anything downloads.

PDF, Word, PowerPoint and Excel files have their text extracted. Markdown, plain text, CSV and similar formats are read directly. Images, media and archives are counted but not read.

Each document is assessed for formally defined governance (policies, standards, principles, decisions) and recorded in the Reference Library with a quote from the document that supports how it was classified. Analysis Mode sets how strict that is:

  • Formal artefacts only (default): only documents that formally define governance, by title or classification, become Reference Library items.
  • One item per document: every file becomes an item unless it clearly isn’t governance.

The run summary names every file analysed and why it was kept or skipped, and every file skipped for size or limits.
